A Volunteer Translation Desk

1. A letter in an unfamiliar language can make an ordinary appointment difficult to arrange. At the fictional Harbour Centre, volunteers offer short translation sessions to help residents understand everyday notices. The desk opens on two afternoons a week. A resident can bring a school letter, an activity notice or simple instructions and discuss the main information with a volunteer. Coordinator Ron calls it a help desk, not an official document service. The volunteers do not provide certified translations. Those are translations checked and formally approved for uses that require an official version, and residents must seek a qualified service for them.

2. At the beginning of a session, a volunteer asks what the resident needs to find out. Someone arranging an appointment may mainly need the date, place and action required. The volunteer reads the whole short notice before explaining those details, so that an important condition is not missed. They may write a simple summary, but they do not change the original notice. If a sentence is unclear even after reading it in context, they tell the resident which part needs clarification from the sender. Guessing would risk giving the person information that the notice does not actually establish.

3. The desk works with the languages its available volunteers can read. It does not promise help in every language at every session. When no suitable volunteer is present, Ron can give the resident contact information for another service. This is a referral, not a translation of the letter. The centre has also placed a sign at the desk explaining that volunteers cannot decide whether someone is legally entitled to a benefit. Understanding the words of a notice and judging a legal right are different tasks. A resident may need separate professional advice even after the wording has become clear.

4. Ron plans to collect general comments about whether the opening hours are convenient. He will not keep copies of the letters residents bring or publish their personal details. The centre is considering one additional afternoon, but only if enough volunteers are available. Some residents have suggested an online service; Ron has not decided to offer one. He wants a clear, limited source of help with everyday information. Its usefulness depends partly on saying when another service is needed, rather than giving an answer to every question a visitor asks.
